Position Summary
The District Manager – SOE Locations provides direct oversight of all SOE-enabled practices, ensuring consistent use of Software of Excellence to drive production, collections, patient experience, and compliance. This leader builds high-performing teams, standardizes SOE workflows, and owns day-to-day operational results across a multi-site portfolio
Duties & Responsibilities
- Direct Oversight of SOE: Own operational performance for SOE locations; use dashboards and reports to track schedule utilization, treatment acceptance, hygiene recall/reactivation, A/R, and patient flow; set weekly targets and action plans with Office Managers and Regional Clinical Directors.
- SOE Operations: Standardize appointment-book workflows, patient communications, forms/e-consents, and reporting across sites; ensure data integrity, template governance, and consistent KPI definitions.
- Team Enablement: Train, mentor, and certify Office Managers and front-office leads on core SOE functions; build playbooks and quick-hit job aids to improve adoption and accuracy.
- Performance Management: Review daily/weekly production schedules and reports with managers; diagnose variance drivers and execute corrective actions to hit revenue growth, collections, and margin goals.
- Provider & Staff Support: Partner on provider recruiting, onboarding, and ramp plans; ensure SOE templates, fee schedules, and user permissions are set correctly on day one.
- Patient Experience & Issue Resolution: Monitor NPS/feedback, resolve escalated patient concerns within 24 hours, and close the loop with site teams.
- Compliance & Risk: Oversee adherence to company policies and applicable regulations; ensure SOE documentation, audit trails, and security roles meet standards.
- Operating Rhythm: Conduct weekly site visits and monthly operating reviews; publish district scorecards and follow-up action plans; coordinate with IT for uptime, updates, and integrations.
- SOE experience required; expert at extracting/reporting KPIs, optimizing appointment books, and deploying standardized templates and comms within SOE.
- Proven multi-site dental operations leadership with strong coaching, change management, and stakeholder communication skills.
- P&L literacy; able to connect SOE metrics to financial outcomes.
- High integrity, urgency, and bias for action; adept at juggling competing priorities across sites.
- Bachelor’s degree preferred.
- 5+ years in dental operations, including 2+ years hands-on in Software of Excellence (EXACT) or equivalent enterprise PMS; SOE required.
- Prior P&L accountability; regular travel within the district and to the corporate office.
- Excellent written and verbal communication.
